General Research Gateway IRB Access
As of July 1, 2026, Research Gateway IRB (ReGI) is the submission and review system for the UCSF IRB. The Human Gamete, Embryo and Stem Cell Research (GESCR) Committee will also use the Safety module in ReGI for its submissions and reviews.
ReGI is accessible via MyAccess. Individuals with a UCSF ID # are automatically granted access. This includes UCSF faculty, staff, residents, fellows, students, or individuals who have a UCSF ID # for other reasons.
Individuals without a UCSF ID# – including collaborators who are not employees of UCSF or its affiliated institutions – cannot access ReGI unless they are granted affiliate access. Follow the instructions below.
The UCSF study team is responsible for all ReGI submissions, including submissions for external relying sites.
Logging In: Individuals with a UCSF ID #
- Login to MyAccess
- Click the Research Gateway: Institutional Review Board (IRB) - ReGI link.
You can then create a new study or ask someone on the study team to add you to an existing study. See the Research Gateway IRB user guides for more information on these activities and other actions you can take in ReGI.
Getting a ReGI Account: Individuals without a UCSF ID (Affiliate Access)
If you are working with an individual who does not have a UCSF ID #, you should first determine whether:
- They need access to ReGI – for example, to help with IRB submissions, access study documents, or perform study-related financial oversight. OR
- They are research study personnel, but they do NOT need to access ReGI.
If they need access to ReGI, they will need "affiliate access" to the UCSF network. If the study PI has a UCSF appointment or affiliation, the PI’s department is responsible for initiating, extending, and discontinuing UCSF affiliate access for investigators and research support staff who do not have a UCSF ID.
To obtain affiliate access, refer to the instructions for onboarding new non-employees on the UCSF MyAffiliate website.
Approximately 24 hours after affiliate access is granted, the affiliate will be able to login ReGI via MyAccess and can also be listed in the “Local Study Team Members” section of the Study SmartForm.
If they do NOT need access to ReGI and only need to be listed as personnel on your study, follow the instructions on the Study Personnel page about Listing Non-UCSF Personnel in the IRB Application.
Affiliate Access for Study Personnel Whose PI does NOT have a UCSF appointment
The UCSF IRB will establish and maintain UCSF affiliate access for the following groups:
- PI, investigators and research support staff from UCSF affiliated institutions (Gladstone, Institute on Aging, SFDPH, UC Santa Cruz - Stem Cell Research) who do not have a UCSF appointment Process for Requesting Access.
Process for Requesting Access:
- Complete the online Request Research Gateway IRB (ReGI) Access (Non-Affiliated Personnel)
- The IRB Management team will review the request to determine if the affiliate is eligible for IRB sponsorship.
- If eligible, the UCSF IRB will grant affiliate access (allow 10 days).
- If the affiliate is not eligible for IRB sponsorship, you will receive an email with instructions for requesting access through the PI’s department.
- After the UCSF ID for the affiliate is created, you will be able to search for and add the affiliate to your studies in ReGI.
- The affiliate should set up a MyAccess account and login to ReGI. Please note that the affiliate will not see any studies until a current member of the study team adds them to a study.
Access Expires After One Year: UCSF IRB-sponsored affiliate accounts expire annually in January. The IRB sends an reminder to request extension of affiliate extension in December. If an extension request is not received, access will expire and the affiliate will not be able to log into ReGI. However, they will still be listed in the ReGI directory and can be added to future studies. Contact the IRB with questions.
Read-Only Access in ReGI
There are several options for obtaining read-only access in ReGI, depending on the number of studies involved and the level of access needed.
Guest List Access
- Read-only access to a specific study.
- Added by the study team on a per-study basis.
- Guest list members cannot edit, create, or submit IRB submissions.
- View the Guest List Access user guide for more information.
Read-Only Access by PI or Location
- Same read-only access permissions as Guest List members, but access is granted in bulk for multiple studies associated with a PI or research location.
- Access granted by the Research Gateway IRB team (submit request here).
- View the Guest List Access user guide for more information.
Global IRB Viewer
- Read-only access to all IRB submissions in ReGI.
- Should only be requested when needed to perform institutional or administrative responsibilities; subject to approval.
Access granted by the Research Gateway IRB team (submit request here).
View the Global IRB Viewer Access user guide for more information.
Forms
- Request Research Gateway IRB (ReGI) Access (Non-Affiliated Personnel): Use this form to request new or renewed access to Research Gateway IRB if you are not affiliated with UCSF and no one on your study team has a UCSF affiliation. This form is intended for non-affiliated research personnel who need access to work on IRB submissions or IRB-approved studies.
- Affiliate Access Verification Form: Complete this form to verify your affiliate access. Your responses help determine the appropriate affiliate appointment and support UCSF's access and security requirements.
